1. Google Folder Access for Judges’ Comments and Recordings

You will be emailed links to your Google folder where judges’ comments and performance recordings will be uploaded after your ensemble’s performance. If you don’t see the link by Monday, 3/10, please reach out to the event chair.


2. Badges / Identification for Performers

  • All Orchestra Directors must wear their school-issued badge.
  • Chesapeake and Suffolk students should wear their school-issued badges upon entry and exit (they may remove them to perform).
  • Portsmouth students will be given a badge to be worn upon entry and exit.
  • Adult Chaperones should sign in through their own school’s security desk and wear the badge issued there. Badges should be displayed at all times.

3. Parking

  • Buses: Pull up to the front entrance. A student runner will meet the director and give directions. Do NOT exit the bus until directed.
  • Personal Vehicles: Park in the student parking lot on the Football Stadium side of the building, past the main entrance.

4. Audience Attendance

Please share the following with audience members. These are normal school days for IRH. Due to high visitor volume, wait times to enter may be longer than expected. Please plan to arrive at least 30 minutes before the scheduled performance.

Audience members must sign in at the Security desk with a state-issued ID, military ID, or passport. Photos of ID are not accepted.


5. Key Reminders

  • Silence in hallways — school is in session.
  • Discourage bathroom breaks; once inside, every moment is accounted for. Only the “L Hall” restroom (just outside the Auditorium) may be used.
  • Check the schedule for any small adjustments.
  • Check the program draft for correct music order, titles, composer/arranger, school name spelling, and your name. Report changes by 4:00 PM the day before your performance.
  • Bring 3 ORIGINAL scores for each piece with measures numbered. If unavailable, obtain written permission to photocopy from the publisher (JWPepper permission is not adequate).
  • If sight-reading, review the relevant section of the VBODA manual carefully.
  • The Unpacking Room is for unpacking only — no tuning or playing. It is shared; consolidate items as directed.
  • Each ensemble has 20 minutes in the Warm-Up room.
  • IRH has only 3 Bass Stools on stage. Bring additional stools if needed.
